Terms & Conditions
These terms govern access to and use of the Travelfed B2B travel distribution platform by registered travel agencies, tour operators, and other professional re-sellers.
1.Parties & acceptance
These terms form a binding agreement between:

and the travel agency, tour operator, or other professional re-seller registering for and using the Travelfed platform (the "Agency", "you").
You accept these terms when you (a) submit an agency application, (b) log into the agency portal, or (c) make your first booking — whichever happens first. If you do not accept these terms, do not register or use the platform.
2.Definitions
- Platform — the Travelfed website, agency portal, supplier portal, and back-office systems.
- Booking — a reservation made through the platform on behalf of a traveller, passenger, or patient.
- Supplier — a hotel, airline, tour operator, cruise operator, transfer or car-rental provider, clinic, hospital, rehabilitation centre, or wellness centre under contract with Travelfed.
- Lead Guest — the named traveller, passenger, or patient on a booking.
- Tier — the agency commercial tier (e.g. Bronze, Silver, Gold) that determines commission and conditions.
- Net — the rate Travelfed charges the agency, before agency mark-up to the end client.
- Sell — the rate the agency may sell the booking for; the platform shows a recommended sell rate but final pricing to the end client is the agency's decision.
- Voucher — the PDF document issued by Travelfed confirming a booking and serving as the traveller's proof of reservation.
- Confirmed Booking — a booking accepted and confirmed by Travelfed, after which a voucher is issued.
3.The service
Travelfed is a B2B travel distribution platform that aggregates inventory from contracted suppliers and makes it available to registered agencies for booking. The service includes:
- Search and selection of inventory across hotels, airlines, package operators, cruises, transfers, car rentals, and Health Tourism providers
- Real-time availability and pricing
- Booking creation, modification, and cancellation
- Voucher and invoice generation
- Booking history, reporting, and account management
- Email notifications for booking events
Travelfed acts as an intermediary between the agency and the supplier. Travelfed contracts directly with the supplier for the inventory and is responsible to the agency for the contracted service. The agency contracts directly with the end traveller and is responsible for that relationship.
4.Agency account
4.1 Eligibility
To register as an agency you must be:
- A registered legal entity in your country of operation (with a valid trade or tax registration), OR a duly licensed sole trader / individual entrepreneur where local law permits;
- Authorised by your principals to act on behalf of your travellers; and
- Compliant with all applicable travel agency licensing, financial protection, and consumer-protection laws in your jurisdiction.
4.2 Application & approval
Travelfed reviews each agency application and may approve, reject, or request additional information at its sole discretion. We may require trade-registry extracts, agency licences, financial statements, or references before approval.
4.3 Authorised users
Once approved, the agency may add additional users via the portal's team-management feature. The agency is responsible for the actions of all its users. Each user must keep their login credentials confidential and must not share them with any other person.
4.4 Tiers and commercial conditions
Each agency is assigned a Tier (e.g. Bronze, Silver, Gold) which determines commission, payment terms, credit limits, and other commercial conditions. Tiers may be reviewed and adjusted by Travelfed based on performance, payment history, and volume.
5.Booking process
5.1 Quotes are not bookings
Search results, prices shown in the simulator, and quotes generated within the portal are indicative only. Availability and price are confirmed only when a booking is created.
5.2 Pending bookings
When the agency submits a booking, it enters Pending status. At this stage, inventory is held on a soft basis and the booking is awaiting Travelfed's confirmation.
5.3 Confirmation
Travelfed confirms or rejects each booking within a reasonable time (typically the same business day). Upon confirmation, the booking enters Confirmed status, an invoice and voucher are generated, and the agency receives them by email.
5.4 The voucher is the operational document
The voucher PDF is the official proof of reservation. The agency must forward the voucher to the lead guest (or print and hand it over). The voucher contains all information required by the supplier to honour the booking.
5.5 Lead-guest accuracy
The agency is responsible for the accuracy of all lead-guest, passenger, and patient information submitted, including correct spelling of names (especially for airline bookings, where IATA name compliance is mandatory). Corrections after confirmation may incur supplier fees.
6.Pricing & payment
6.1 Currency & FX
Prices may be displayed in different currencies depending on the supplier (Net) and the agency's billing currency (Sell). Foreign-exchange conversion is applied at the rate captured when the contract is issued. EUR-equivalent figures are used for internal reporting only.
6.2 Commission model
The agency's commission is the difference between the Sell rate and the Net rate, less any platform fees. The recommended Sell rate shown in the portal is computed based on the agency's tier and active pricing rules. The agency may add further mark-up when on-selling to the end traveller.
6.3 Payment terms
Payment terms (deposit, balance, full pre-payment) are determined by the agency's tier and credit limit. Confirmed bookings reduce the agency's available credit balance until paid. Travelfed reserves the right to suspend booking privileges where the agency exceeds its credit limit or is overdue on payment.
6.4 Invoices
Travelfed issues an invoice (format INV-YY-NNNNN, sequential within each calendar year) at booking confirmation. Invoices are payable in the currency stated on the invoice, by the date stated, by bank transfer to the account specified in the invoice.
6.5 Late payment
Overdue invoices may attract late-payment interest at the rate set by Turkish Commercial Code Art. 1530, calculated daily on the outstanding amount. Travelfed may also suspend platform access until overdue amounts are settled.
7.Cancellations & changes
7.1 Pending bookings
Pending bookings (those not yet confirmed by Travelfed) may be cancelled by the agency at any time through the portal at no charge.
7.2 Confirmed bookings
Confirmed bookings are subject to the cancellation policy of the underlying supplier contract. Each booking has a defined release date (the last day on which the booking may be cancelled without penalty). After the release date, cancellation charges apply per the contract.
7.3 Self-service vs assisted
Pending bookings can be cancelled directly in the portal. Confirmed bookings require a cancellation request to Travelfed, which we process subject to supplier confirmation and the contract's cancellation rules.
7.4 No-show and changes
No-shows, late check-ins, and post-confirmation changes are charged according to the supplier's contract. Where the supplier accepts a change, Travelfed will pass through any change fee plus any rate difference.
7.5 Special category — Health Tourism
Medical bookings have additional rules:
- Pre-arrival medical clearance may be required by the clinic — failure to provide it may void the booking
- The patient is responsible for compliance with the clinic's medical conditions and pre-arrival requirements
- Medical questionnaire data submitted by the agency must be accurate; deliberate misrepresentation may result in cancellation without refund and may transfer liability to the agency
8.Supplier identity
8.1 Confidentiality of supplier identity
For certain inventory categories (notably Health Tourism), Travelfed may withhold the supplier's identity from public-facing search results and pre-booking pages. This protects supplier commercial interests and prevents disintermediation. The supplier identity is disclosed once a booking is confirmed and the voucher is issued.
8.2 No direct contracting
The agency must not contact, contract with, or solicit business directly from any supplier whose identity becomes known through the platform, for the purpose of bypassing Travelfed for bookings the agency would otherwise have made through Travelfed. This applies during the term of the agency's account and for 12 months after termination.
9.Agency obligations
The agency agrees to:
- Use the platform only for lawful, professional purposes;
- Provide accurate and complete information about lead guests, passengers, and patients;
- Obtain consent from end travellers for the processing of their personal data — including special category (health) data where applicable — and warrant that such consent has been obtained when submitting a booking;
- Comply with all applicable consumer-protection, anti-money-laundering, sanctions, and tax laws;
- Not attempt to circumvent platform security, scrape data, or use automated tools that interfere with normal operation;
- Not represent itself as Travelfed or as a Travelfed branch — the agency is an independent business;
- Settle invoices on time;
- Notify Travelfed promptly of any data breach, fraud, or unauthorised access to its account;
- Not on-sell platform access or credentials to any third party.
10.Data protection
Each party is an independent data controller for the personal data it processes. The agency obtains end-traveller consent and is responsible for that relationship. Travelfed processes data per its Privacy Policy. Where data is shared between the parties, both shall comply with KVKK, GDPR, and any other applicable data-protection law, and shall implement appropriate security measures.
11.Intellectual property
Travelfed, including the platform software, design, content, trade marks, and the "Travelfed" name and logo, is the property of İmforx Labs Ltd. The agency receives a non-exclusive, non-transferable, revocable licence to use the platform for the duration of its account, solely for its internal business purposes. The agency may use Travelfed-issued vouchers and invoices in its dealings with end travellers.
Content uploaded or submitted by the agency (such as agency profile data) remains the agency's property; the agency grants Travelfed a licence to use it as needed to operate the platform.
12.Liability
12.1 Travelfed's role
Travelfed acts as an intermediary. The actual travel, accommodation, transport, treatment, or other service is provided by the supplier. Travelfed is responsible for the accuracy of the booking it confirms and for delivering the voucher. The supplier is responsible for the actual delivery of the service.
12.2 Limitation of liability
To the maximum extent permitted by law, Travelfed's total aggregate liability to the agency in respect of any claim or series of claims arising under or in connection with these terms or any booking shall not exceed the total Sell value of the booking(s) giving rise to the claim, or the equivalent in EUR of the fees paid by the agency to Travelfed in the 12 months preceding the claim, whichever is higher.
Travelfed is not liable for indirect, consequential, or punitive damages, loss of profits, loss of business opportunity, loss of reputation, or loss of data, even if foreseeable.
12.3 Carve-outs
Nothing in these terms limits liability for fraud, wilful misconduct, gross negligence, or any liability that cannot be limited by Turkish law.
12.4 Agency indemnity
The agency shall indemnify Travelfed against any claim, loss, or liability arising from (a) the agency's breach of these terms, (b) inaccurate lead-guest data submitted by the agency, (c) failure to obtain valid consent for personal data shared with Travelfed, or (d) the agency's relationship with its end travellers (including consumer-protection or refund claims).
13.Suspension & termination
Travelfed may suspend or terminate an agency's account, with notice where reasonable, for:
- Material breach of these terms (including repeated late payments)
- Fraud, suspected fraud, or unlawful activity
- Insolvency, bankruptcy, or analogous proceedings
- Sustained abusive behaviour towards Travelfed staff or suppliers
- Inactivity for more than 24 months
The agency may terminate its account at any time by written notice to support@travelfed.com. Termination does not affect bookings already confirmed; outstanding obligations (payment, post-travel matters) survive termination.
14.Force majeure
Neither party is liable for failure to perform caused by events beyond its reasonable control, including acts of God, war, terrorism, civil unrest, government action, pandemics, natural disasters, infrastructure failures, or large-scale cyber-attacks. The affected party shall notify the other promptly and use reasonable efforts to mitigate.
15.Changes to terms
Travelfed may update these terms from time to time. Material changes will be notified by email to active agency accounts at least 30 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated terms. The most current version is always available at travelfed.com/terms.php.
16.Governing law & disputes
16.1 Governing law
These terms are governed by the laws of the Republic of Türkiye, without reference to conflict-of-laws principles.
16.2 Jurisdiction
The courts and execution offices of Antalya, Türkiye shall have exclusive jurisdiction over any dispute arising under or in connection with these terms or any booking, save where mandatory consumer-protection or other law requires otherwise.
16.3 Pre-litigation contact
Before commencing legal proceedings, the parties shall attempt to resolve the dispute in good faith by written contact between authorised representatives, for at least 30 days.
